Rook Recruit

The calm hiring platform, part of the Rook ecosystem.

Rook Recruit is a modern applicant tracking system built by Rook (rookhq.com). It is designed for startups, in house recruiters, staffing agencies, and enterprise talent teams. The platform combines Social Score verification, Rook Intelligence automation, and a flexible kanban pipeline in one workspace.

Social Score

A 0–100 trust signal computed live from a candidate's public web presence.

Social Score reads LinkedIn, GitHub, portfolios, personal sites, writing, talks, press, and licenses in real time. Signals are weighted and combined into a single 0 to 100 number with a plain-English verdict. Every point is traceable to a source URL. Social Score is a trust layer, not a decision maker — it surfaces what the public web says so recruiters can read a candidate faster.

Match Score

A percentage indicating how well a candidate fits a role.

Match Score uses timeline logic (overlap, gaps, title inflation, depth), must-have versus nice-to-have skill weighting, and trajectory analysis. A fast riser can beat a flat senior on a role that needs one. Every Match Score comes with cited strengths and gaps on the candidate profile.

Rook Intelligence

The reasoning layer that powers every score, draft, and brief in Rook Recruit.

Rook Intelligence is the canonical term for the reasoning layer across every Rook product. In Rook Recruit it powers Social Score, Match Score, Interview Assist, and job description drafting. The conversational surface is Lila Morgan, the People Partner.

Lila Morgan

The Rook People Partner. Agent Pink in the Rook Intelligence council.

Lila Morgan is the conversational People Partner in Rook Recruit. She reads your pipeline, roles, calendar, and the public web, and answers in plain English with citations. Lila suggests — she never decides. She only reads the workspaces you place her in.

Interview Assist

A pre-call brief drafted per candidate, per role.

Interview Assist generates a brief containing tailored questions, a scoring rubric per question, red flags tied to exact sources, and a plain-English summary — before the candidate reaches the interview stage. Recruiters walk in with the prep already done.

Hiring Pipeline

The kanban board that tracks candidates through stages.

A kanban board with seven system stages — New, Screening Rejected, Shortlisted, Interviewing, Offer Extended, Offer Declined, Joined — plus unlimited custom stages. Four of the system stages are position-locked by design so reporting stays comparable across teams.

System Stage

A built-in pipeline stage that cannot be renamed or moved.

System stages anchor every pipeline. New, Screening Rejected, Shortlisted, and Joined are position-locked so reporting stays comparable across teams. Interviewing, Offer Extended, and Offer Declined sit in the middle and may be reordered.

Custom Stage

A user-defined pipeline stage with a chosen name and color.

Custom stages sit between the locked system stages. Ten color tokens are available. Stages can be dragged to reorder. Legacy stages remap cleanly when the pipeline is reshaped.

Workspace

A scoped hiring environment with its own brand, pipeline, and people.

A Rook Recruit workspace has its own brand (logo, color, careers page, domain), own pipeline (custom stages), own members and permissions, and own templates. One Rook ID can belong to many workspaces. Plans are per workspace, not per seat.

Careers Page

A branded public job listing page at recruit.rookhq.com/<brand>.

Every workspace gets a public careers page. Upload a logo, pick a color, pick a layout (Minimal, Bold, or Studio). Open roles appear automatically. Structured data and schema markup are generated for SEO and AI indexing.

Bulk Upload

A background process that parses and scores many resumes at once.

A Bulk Upload takes 25+ resumes or a pasted list of URLs, runs duplicate detection first (email, LinkedIn, phone), parses each file independently, scores against selected roles, and files them — all in the background. A single notification fires when the batch completes.

Duplicate Detection

Automatic matching that prevents a candidate from appearing twice.

On every new candidate (bulk or single), email, LinkedIn URL, and phone number are matched against existing profiles. Duplicates merge into the existing profile — the new resume becomes an attachment rather than a second record.

Conflict Check

An automatic match that stops duplicate vendor submissions.

When a vendor (external recruiting partner) submits a candidate, Rook matches the candidate against every active engagement by email, LinkedIn, and phone. If an overlap exists, the submission is flagged and the vendor sees a neutral conflict state. The internal team decides how to resolve.

Rook ID

The single sign on identity across every Rook product.

Rook ID is the authentication layer at accounts.rookhq.com. One Rook ID signs into Rook Recruit, Rook Dots, Rook Links, Rook Signal, and Realm by Rook. Enterprise SSO via SAML and OIDC is on the roadmap and not shipped today.

SSO

Single Sign On via SAML or OIDC — on the Rook Recruit roadmap.

SSO lets a workforce authenticate to an application using an existing identity provider (Okta, Azure AD, Google Workspace) via SAML 2.0 or OpenID Connect. Rook Recruit does not ship SSO today; it is on the roadmap. Authentication goes through Rook ID.

SCIM

System for Cross-domain Identity Management — automated user provisioning.

SCIM 2.0 is a protocol that keeps a SaaS product in sync with a corporate identity provider — joiners are created automatically, leavers are deprovisioned, role changes move permissions. SCIM is on the Rook Recruit roadmap; it is not shipped today.

DPA

Data Processing Agreement.

A DPA is a contract specifying how personal data is handled between a processor (Rook) and a controller (the customer) under GDPR and similar laws. A standard Rook Recruit DPA is in progress. If procurement needs one today, contact us and we will work on contract language that reflects our current controls honestly.

Data Residency

The geographic region where a workspace's data is stored.

Data residency means pinning a workspace's primary storage and backups to a specific cloud region. Multi region residency is on the Rook Recruit roadmap. Today your workspace lives in our cloud provider's primary region.

SOC 2

A trust services audit focused on security and privacy controls.

SOC 2 Type II is an independent audit of an organization's controls around security, availability, processing integrity, confidentiality, and privacy. Rook Recruit is not SOC 2 certified today. We are documenting controls and intend to pursue SOC 2 as we grow. Ask for our current security posture before any procurement review.

GDPR

General Data Protection Regulation — the EU data protection law.

GDPR gives EU residents rights over their personal data: access, correction, deletion, portability, and restriction. Rook Recruit is designed with GDPR principles in mind but does not hold formal GDPR certification today. Candidates who want to exercise rights can contact us; we aim to respond within 30 days.

ATS (Applicant Tracking System)

Software that manages the end-to-end hiring workflow.

An Applicant Tracking System stores candidates, tracks them through hiring stages, and supports collaboration between recruiters and hiring managers. Rook Recruit is a modern ATS with built-in candidate verification (Social Score), interview prep (Interview Assist), and conversational intelligence (Lila Morgan).

OAuth

An open standard for delegated access to user accounts.

Rook Recruit uses OAuth 2.0 for Google Workspace, Microsoft 365, LinkedIn, GitHub, and other integrations. Tokens are scoped to the narrowest permission that does the job, stored encrypted, and revocable per workspace.

Kanban

A visual workflow with cards that move across columns.

Kanban, originating in Toyota's manufacturing system, represents work as cards moving across named columns (stages). Rook Recruit's Hiring Pipeline is a kanban board where columns are hiring stages and cards are candidates.

Rubric

A structured scoring framework for an interview.

A rubric defines, in advance, how each interview question will be scored. Rook Recruit's Interview Assist generates a rubric per candidate per role so scores stay consistent across interviewers, reducing bias and making post-interview debriefs cleaner.

Shortlist

The set of candidates chosen to move forward from screening.

A shortlist contains candidates who have cleared screening and will be invited to interview. In Rook Recruit, "Shortlisted" is a system stage — a position-locked column in every pipeline — so shortlist counts are comparable across teams and time.
